For the purposes of the Data Protection Act 1998, the data controller is Snap Surveys Limited (company number 01672722) of 5 Mead Court, Cooper Road, Thornbury, Bristol BS35 3UW in relation to all data (e.g. registration, billing and account information) other than data provided in a client survey. The data controller for client surveys is the client who has commissioned the survey, who determines how their survey questions and responses are to be used and disclosed to others. We will only process such client survey data in accordance with our client’s instructions and permissions.

Information We May Collect From You

When you use our website and our services, we may collect and process the following data about you:

Information that you give us

You may give us information about you by filling in forms on our website or by corresponding with us by phone, e-mail or otherwise. This includes information that you provide when you register to use our website, subscribe to our services (including participating in or setting up a survey or signing up for free web polls or our newsletter), place an order on our website, engage in online chat with us or participate in forums on our website and when you report a problem with our website. The information you give us may include your name, organization, address, e-mail address, phone number, username, financial and credit card information (including billing address) and personal description.

Our services enable our clients to create and administer their surveys. We may host our clients’ surveys on our servers and collect the responses to those surveys. We may also carry out an analysis of this data to produce reports for you. As a result, if you create a survey using our services:

  • we will hold, store and process survey data for you,
  • we will process participant contact information if you provide us with email addresses of potential participants in order to invite them to respond to your survey by email

but as explained below we do not use the survey data or contact information ourselves or provide it to third parties, except in the limited circumstances described below.

If you are a respondent to a client survey we will collect and store the responses that you submit, and may carry out an analysis of this data to produce a report to our client. Please note that our client remains responsible for this data and its management, as explained below in ‘How We Use the Information’.

Information that we collect about you

When you visit our website we may automatically collect information about your visit such as the webpages you viewed, services you viewed or searched for, length of visits to certain pages, the times and dates of these actions and any phone number used to call our customer service number. We may also collect data from the device and application that you use to access our services, including your IP address (from which we may infer your geographic location), login information and browser type. If you arrive at our website from an external source (such as a link on another website or in an email) we record information about that source.

We may also automatically collect information about the usage of our software, including the version that you are using and the number of users of that software.

Information that we receive from other sources

We may receive information about you from third parties with whom we work including our business partners, sub-contractors in technical, payment and delivery services, analytics providers, search information providers and credit reference agencies.

How We Use the Information

We use the information held about you in the following ways:

To carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us. This may include providing you with customer support.

To provide you with our newsletter and with information about other products and services we offer that are similar to those you have already purchased or enquired about or that we feel may interest you. To ensure that content from our website is presented in the most effective manner for you and your computer.

To administer our website and for internal operations, including troubleshooting, data analysis, testing, research and statistical purposes, and as part of our efforts to keep our website safe and secure.

Use of client survey data – clients: we will use your survey data to hold, store and process it in accordance with your instructions. We use the survey data purely to provide survey services for you and will only use it for our own purposes if you have made your survey responses public, or you have given us your express consent, or we are required to do so by law.

Use of client survey data – respondents: all information that you provide in response to a client survey will be provided to our client. Please be aware that our clients control the surveys and what happens to the survey data, which may include using that data for research purposes or making the survey responses public. We recommend that you contact the client running the survey to understand how they will use your survey responses. The client may provide you with their own separate privacy policy governing the use of your survey data. We will not provide any information that you submit in response to the survey, nor your contact details, to third parties other than our client (unless you have given us your express consent, or we are required to do so by law). Further, we will not use your contact details to contact you for any purpose outside of operating the survey.

We may aggregate survey data from a number of surveys to produce overall statistics and benchmarks. Any such information will not be correlated with data about individuals and it will not be possible to identify any individual from the aggregated results.

We may use information collected about the use of our software to provide you with the benefits of any autoupdate feature or to ensure that you are using the software in accordance with the terms on which it is licensed.

Disclosure or Sharing of Your Information

We will not sell your information to third parties or otherwise disclose your information to third parties for marketing purposes.

We will only disclose your personal information in the circumstances described below.

We may provide your personal information to companies that provide services to help us with our business activities such as shipping your order, assessing your credit score, hosting your survey or offering customer service or online chat services. These companies are authorised to use your personal information only as necessary to provide these services to us.

We may disclose aggregated survey data to third parties for benchmarking purposes and to publish overall statistics. Any such information will not be correlated with data about individuals and it will not be possible to identify any individual from the aggregated results.

We may disclose your information to analytics and search engine providers that assist us in the improvement and optimisation of our website.

We may also disclose your personal information:

  • if we are under a duty to disclose or share your personal data in order to comply with any legal obligation such as a subpoena or respond to a request from a government or a regulatory body
  • in order to enforce or apply our website terms of use, software licences or other agreements, and to protect the rights (including intellectual property rights), property or safety of Snap Surveys Limited or Snap Surveys NH, Inc., our customers or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction
  • if we are involved in a merger, acquisition, or sale of all or a portion of our assets, you will be notified via email and/or a prominent notice on our website of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information.   • if you choose to make your survey responses public

Updating your Information

If you wish to update or amend your personal information or data you may do so by making the change within your account once logged in or by emailing our Customer Support at customerservices@snapsurveys.com. We will respond to your request within 30 days.

Data Retention

We will retain your information for as long as your account is active or as needed to provide your services. If you wish to cancel your account or request that we no longer use your information to provide your services please contact us at customerservices@snapsurveys.com.

We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Please note that as our clients control their survey data, if you are a respondent to a client survey you will need to contact them directly to amend or delete anything in your survey responses.

Cookies and other Tracking Technologies

We and our partners, affiliates, or analytics or service providers use technologies such as cookies, beacons, tags, and scripts, to analyze trends, administer the website and track users’ movements around the website. We may receive reports based on the use of these technologies by these companies on an individual and aggregated basis. Please note that we do not currently process or comply with any web browser’s ‘do not track’ signal or other similar mechanism that indicates a request to disable online tracking of individual users who visit our website.

We use cookies to distinguish you from other users of our website. This helps us to improve our website’s performance and your experience of using our website. Users can control the use of cookies at the individual browser level. If you reject cookies, you may still use our website, but your ability to use some features or areas of our website may be limited. When we send you emails, we may include a web beacon to allow us to determine the number of people who open our emails and information such as when and how many times the email was viewed, whether any links were clicked on and whether the email was forwarded. When you click on a link in an email, we may record this individual response to customise our offerings to you. Web beacons can be refused when delivered via email. If you do not wish to receive web beacons via email, you will need to disable HTML images or refuse HTML emails via your email software, but please note that this is likely to reduce the functionality of such emails.

We use Local Shared Objects, such as Flash cookies and Local Storage, such as HTML5, to store content information and preferences. Third parties with whom we partner to provide certain features on our website or to display advertising based upon your web browsing activity also use HTML5 to collect and store information. Forums/Private Messages

If you use the forums or Private Messages on this website, you should be aware that any personal information you submit there can be read, collected, or used by other users of these forums, and could be used to send you unsolicited messages. We are not responsible for the personal information you choose to submit in these forums or private messages. Please note that you have the ability to hide your e-mail address within the forum section by clicking on “Board Settings” and then going to “privacy settings”. To request removal of your personal information from our blog or community forum, contact us at privacy@snapsurveys.com. In some cases, we may not be able to remove your personal information, in which case we will let you know if we are unable to do so and why.

You have the option of receiving email notifications each time someone replies to the threads or boards you add to your notify list. If you no longer wish to receive these types of notifications simply login to your forum account and modify your notifications.

Links to Other Websites

Our website may contain links to and from third party websites, including those of advertisers and our affiliates. If you click on a link to those websites you will leave our website to go to the website that you selected. Please note that we cannot accept responsibility or liability for any use of your personal information by such third parties, and we cannot guarantee that they will adhere to the same privacy practices as us. Social Media Features and Widgets

Our website includes Social Media Features, such as the Facebook Like button and Widgets, and the Share this button or interactive mini-programs that run on our website. Social Media Features and Widgets are either hosted by a third party or hosted directly on our website.
